Internal do not call list software that blocks the call

Rapidialer works as internal do not call list software built into the dialer: one Do Not Call (DNC) list for your whole organization. When a rep marks a lead DND in wrap-up, or a manager adds or imports numbers, Rapidialer blocks outbound calls to those numbers for every user, from every queue, the softphone and the Chrome extension.

Updated

Key takeaways

  • Owners and admins can add up to 1,000 numbers at a time, or import a CSV of up to 20,000; agents can search the list and mark leads DND.
  • Every blocked dial stops with “This number is on do not disturb and cannot be called.”
  • Numbers are stored in international format, so (415) 555-0100 and +1 415 555 0100 are one entry.
  • Only owners and admins can remove an entry, and removing it also clears the Do Not Call flag on the matching lead.

Do Not Call list: what it does for your team

One list for the whole team
A request not to be called, made to any rep, protects the number from every rep. Nobody has to remember which spreadsheet holds the opt-outs.
Blocked at the source
The check runs when a call is created and again when Twilio asks Rapidialer where to send it, so a listed number cannot slip through.
Queues clean themselves up
Marking a lead DND removes its queued calls and cancels its follow-ups, and Power Dial skips DND leads automatically.

Do Not Call list, step by step

  1. Capture opt-outs on the call

Choose the DND outcome in wrap-up. The lead is marked Do Not Call and its number joins your organization’s list.

  2. Add or import numbers

In Dialing settings, owners and admins can add up to 1,000 numbers at a time, with an optional reason, or import a CSV of up to 20,000.

  3. Calls are refused

Any attempt to dial a listed number, from a list, a lead page, the keypad or the extension, is stopped with a clear message.

What it does not do

Plain limits, so you can decide before you sign up.

  • This is your organization’s own list. Rapidialer does not scrub against the national Do Not Call registry, state lists or litigator lists, so scrub consumer lists before you import them.
  • The DND outcome adds a number to the list when the call is with a lead. To block a number that is not a lead yet, add it to the list directly.
  • The list blocks outbound calls only; it does not reject inbound calls.

Why does a sales team need an internal Do Not Call list?

Because a person who tells your company not to call must stop hearing from every rep, not just the one they told. A company-specific do not call list is the opt-out list for sales calls that every rep and tool checks. US telemarketing rules expect sellers to honor do-not-call requests made directly to them, separately from the national registry. An internal list only works if every rep and every tool checks it, which is why Rapidialer enforces it centrally instead of relying on notes in a lead record. Check with counsel for the rules that apply to your calls.

Only owners and admins can clear a number from the list or remove the DND flag from a lead, so an opt-out cannot be undone by accident.

What should a rep do when someone asks not to be called?

Confirm the request politely, end the call and choose DND in wrap-up, which is key 7 by default. Do not try to change their mind; the outcome takes care of the list, the queue and any follow-ups already scheduled.

How does DNC list management work in Rapidialer?

Numbers join the list from wrap-up, from the Leads page, or from a paste or file in settings. Open Dialing in Settings and choose the Do Not Call tab. Agents see this tab too, so they can search the list, but only owners and admins get the Add numbers and Import CSV buttons (team roles explains who is who).

Add numbers takes up to 1,000 numbers in one go, one per line or separated by commas, with an optional reason of up to 200 characters such as “Asked not to be called”. Import CSV reads each row and takes the first cell that looks like a phone number, so the file needs no header and no particular column order. Ten-digit numbers are read as US or Canadian; write anything else with a plus sign and country code.

Afterwards a message reports how many numbers were added, how many were already listed, how many leads were marked DND and how many entries were invalid. Reps can also flag leads in bulk: select them on the Leads page and press Mark DND.

What changes when a number is listed?

Listing a number does more than block the next dial. For the lead with that number:

  • The lead is flagged Do Not Call, leaves every list queue, and its open follow-ups are cancelled.
  • The lead page disables its Dial button, and only owners and admins can lift the flag with Clear Do Not Call.
  • Any dial attempt stops with “This number is on do not disturb and cannot be called.”, shown on screen or read out to the rep. That includes calls from the Chrome extension keypad.
  • If the number shows up in a later CSV import, the preview counts it under “on Do Not Call” and the contact is added already closed, so it never enters the queue.
  • The lead’s activity timeline records “Marked Do Not Call” and where it came from, such as a call outcome, the DNC list or a bulk update.

When should you remove a number from the list?

Only to fix a mistake. To do it, an owner or admin presses Remove next to the entry. Rapidialer asks for confirmation, because the number can be dialed again and its lead returns to list queues. The Reason column shows the note entered with each number, or how it got there, so check it before you remove anything.

A mistake means something like a typo or a number added to the wrong lead. A person who asked not to be called should stay listed unless they later ask you to call.

Example: one opt-out across a team

On Monday at 14:02 a contact on a purchased list tells a rep, “Take me off your list.” The rep says they will, ends the call and presses 7 for DND, then Enter. Before the next contact loads, the number is on the organization’s list, the lead is flagged Do Not Call, its other list rows leave the queue and a follow-up another rep had set for Thursday is cancelled.

On Wednesday a second rep finds the same number in an old spreadsheet and types it into the Chrome extension keypad. The call does not go through; the rep gets the do-not-disturb message instead.

Why did an import add fewer numbers than the file has?

Usually because some rows had no readable phone number, some were already listed, or the file passed the 20,000-number limit. The result message tells you which.

  • Rapidialer reads only the first 20,000 phone numbers in a file. Split a larger opt-out file into parts and import each one.
  • Rows with no cell that looks like a phone number are skipped. A file with none at all fails with “No phone numbers found in file”.
  • Numbers already on the list count as already listed rather than added, and a number repeated in the same file counts once.
  • Ten-digit numbers are read as US or Canadian. Write other countries’ numbers with a plus sign and country code, or they can be misread or rejected.

What does Rapidialer’s list not cover?

It covers your own opt-outs and nothing beyond them. Rapidialer does not check the federal registry, state registries or litigator lists, does not block inbound calls, and does not store consent records. Under the TCPA rules in 47 CFR 64.1200, the internal list sits next to registry scrubbing and calling-time limits, not in place of them.

If you call consumers, scrub against the registries with a separate service before import, and read whether cold calling is legal for the wider rules. This is general information, not legal advice.

Features that work alongside it

Do Not Call list: questions and answers

Does Rapidialer check the national Do Not Call registry?

No. Rapidialer’s Do Not Call list is your organization’s internal list of people who asked your company not to call. It is not matched against the national registry. If you call consumers, as insurance agents do, scrub your lists against the national and state registries before importing them.

Can I import my existing opt-out list?

Yes. In Rapidialer, owners and admins can import a CSV of up to 20,000 numbers, or paste up to 1,000 at a time with an optional reason. The file needs no header: each row’s first phone-like cell is used. Leads with matching numbers are marked DND straight away, and the result reports how many were added, already listed or invalid.

Who can remove a number from the list?

Only owners and admins can remove a number from Rapidialer’s Do Not Call list or clear the flag on a lead. Agents can add numbers through the DND outcome and search the list, but they cannot undo an opt-out.

How fast does a DND request take effect?

At once. Saving the DND outcome lists the number before the next contact loads, for every rep. Under the Telemarketing Sales Rule, calling someone who asked a seller not to call is an abusive practice (16 CFR 310.4), and FCC rules allow at most ten business days to honor the request (47 CFR 64.1200).

How long must an opt-out stay on my internal list?

Under the FCC’s rules for telemarketing to consumers, a do-not-call request must be honored for five years from when it is made (47 CFR 64.1200(d)(6)). Rapidialer keeps a number on its internal list until an owner or admin removes it, with no expiry, and the Reason column records how it got there. This is general information, not legal advice.

Do I need a written do-not-call policy?

If you make telemarketing calls to consumers, yes: the FCC’s rules require a written policy for maintaining a do-not-call list, available on demand, plus training for the people who use it (47 CFR 64.1200(d)). Rapidialer enforces the list but does not store the policy or training records, so keep those documents alongside the app. This is general information, not legal advice.

Does the Do Not Call list cover text messages?

Yes. Rapidialer’s two-way SMS never texts a number on the internal Do Not Call list or a lead marked Do Not Call. Texts also have their own opt-out: a lead who replies STOP, UNSUBSCRIBE or a similar keyword stops getting texts until they reply START, while calls stay allowed unless the number is on the list. If your team also texts from another tool, copy the same opt-outs there.

Does the list match numbers written in different formats?

Yes. Rapidialer stores every Do Not Call number in international format, so (415) 555-0100, 415.555.0100 and +1 415 555 0100 are the same entry, and duplicates are reported as already listed. The same matching runs when a rep dials, so a number typed in any of those formats is blocked.

Does the Do Not Call list cost extra in Rapidialer?

No. Rapidialer’s internal Do Not Call list, the DND outcome and the CSV import come with every seat, at $5 per seat a month or $49 per seat a year, with Twilio billing calls separately.
