Call analytics for sales teams: cold calling KPIs per rep and per list

Rapidialer gives call analytics for sales teams in one Analytics page: calls, connects, talk time and outcomes per day and per rep, an agent leaderboard and a funnel for each list. Because every call needs an outcome before the next dial, the numbers cover every call, and call history exports to CSV when a manager needs a custom report.

Updated

Key takeaways

  • A connect is a call logged as Connected or Callback; list funnels also count Not interested as a reached contact.
  • Analytics opens on This Month, and only owners and admins get the agent filter; agents see their own calls.
  • A call history export holds up to 10,000 rows, with columns such as duration_sec, disposition, agent, list and has_recording.
  • List funnels cover your 50 most recently updated lists and count each list’s contacts all time, whatever date range you pick.

Call analytics: what it does for your team

Activity at a glance
Total calls, talk time, average call length and connects (calls marked Connected or Callback), with outcome and per-day charts for the dates you choose.
A fair leaderboard
Compare reps on calls, reached contacts, reach rate, talk time, average call, callbacks set and follow-ups completed, not just raw dial counts.
Lists that earn their keep
List funnels show how many contacts were attempted, reached, qualified and won, so you can stop buying the data that does not convert.

Call analytics, step by step

  1. Log outcomes on every call

Wrap-up records the outcome and talk time for each call, and Power Dial will not move on without it.

  2. Open Analytics

Pick a date range; managers can filter to one rep. Agents see their own numbers, and a stats bar in the Dialer tracks the current session.

  3. Go deeper in a spreadsheet

Export call history (up to 10,000 rows at a time) with direction, from and to numbers, start and end times, duration, outcome, notes, rep, list, contact, call status and whether the call was recorded.

What it does not do

Plain limits, so you can decide before you sign up.

  • There are no live wallboards, scheduled report emails or call-quality metrics.
  • Charts come from outcomes, durations and lists; AI summaries sit on individual calls, need your own provider keys, and are not scored or charted.
  • List funnels cover your 50 most recent lists.

Which cold calling KPIs should a sales manager track?

Track five cold calling metrics, each a ratio you can work out from Rapidialer’s numbers:

  • Reach rate (connect rate): Connected and Callback calls divided by total calls. The leaderboard shows it per rep.
  • Dials per hour: total calls divided by the hours a rep spent dialing, which the started times in the History export show.
  • Talk time per rep: the Total talk time card, filtered to one agent.
  • Conversation-to-meeting rate: meetings set divided by connects, using a pipeline stage for meetings (see the FAQ below).
  • Cost per conversation and per meeting: the month’s seats plus the Twilio bill, divided by connects or by meetings.

How should a manager read those numbers each week?

Review reach rate, talk time per rep, callbacks set against follow-ups done, and list funnels. Dial counts alone reward reps for burning through lists, while reach rate (connects per call) and talk time say whether a list is good and whether a rep is having real conversations. SDR teams usually add meetings booked per rep.

Read callbacks set and follow-ups done together: a rep who sets many callbacks but completes few is losing warm leads, and the follow-ups queue shows which ones are overdue. Compare list funnels before you buy more data from the same source, because a cheap list with a low reach rate can cost more per conversation than a pricier one.

When a number moves, listen to a few recordings from that week before changing the script.

What does the Rapidialer Analytics page show?

The page shows four totals, two daily charts, an outcome chart, the agent leaderboard, list funnels and a best-time-to-call heatmap, plus Caller ID health for owners and admins. The date filter opens on This Month. You can switch to Today, This Week, Last Month, This Year, or a custom range, and you can filter by direction (Outbound or Inbound) and outcome. Owners and admins also get an agent filter.

The four cards are In progress (calls with no end time yet), Connected, Total calls and Total talk time. Below them sit Calls Over Time, Call Duration Over Time and a bar chart of outcomes. Agents see the same layout with their own numbers, and the leaderboard card is headed “Your numbers” for them.

Two details are easy to miss. The leaderboard follows your date range and ranks reps by Reached, then by Calls; follow-ups done are credited to whoever completed them. List funnels ignore the date range and count each list’s contacts all time, with a Left to dial column showing what is still callable.

How do you read a list funnel?

Read it left to right as the share of a list’s contacts that reached each step: Attempted, Reached, Qualified, then Won. Suppose a list of 800 contacts shows 600 Attempted, 150 Reached, 40 Qualified and 6 Won. Three quarters of the list has been dialed, one in four attempted contacts was reached, and the rest of the funnel tells you whether those conversations went anywhere.

Attempted means at least one call, and Reached means the last outcome was Connected, Callback or Not interested. Qualified and Won come from your pipeline stages: Won counts leads in a Won stage, and Qualified counts leads past your first two Active stages or already won. If you rename or reorder stages, the funnel follows.

Low Reached with high Attempted can point at the data or the calling times, so look at the list’s calling hours and retry rules before blaming reps. High Reached with low Qualified points at the conversation, which is where recordings and the script come in.

How do you calculate cost per conversation and per meeting?

Divide the month’s total cost by the Connected card to get a cost per conversation. Take ten reps at about 1,000 billed Twilio minutes each. Seats are $50 (10 × $5), and Twilio bills $140 for the outbound phone leg at $0.0140 a minute, $40 for the browser leg at $0.0040 and $25 for recording at $0.0025, plus $11.50 for ten local numbers at $1.15 (Twilio US voice pricing). That is about $266.50 a month.

Now suppose Analytics shows 9,000 calls for the month and 1,350 of them Connected or Callback, a 15% reach rate. Each conversation cost about $0.20. The Rapidialer pricing page has the seat prices, and Twilio’s rates are set by Twilio, not by Rapidialer.

Cost per meeting works the same way. If those 1,350 conversations set 45 meetings, each meeting cost about $5.92. For a 3-rep team at the same volume, the month is about $79.95: $15 in seats and $64.95 to Twilio. Treat these figures as an example, not a benchmark.

Why do the analytics numbers not match what I expected?

Most mismatches come from a filter or a definition, not from missing calls. Check these first.

  • The leaderboard and list funnels ignore the Direction, Outcome and agent filters. The leaderboard follows only the date range, and the funnels ignore dates too.
  • The daily charts group calls by UTC date, so a call placed at 8 p.m. Pacific time lands on the next day’s bar.
  • Custom outcome buttons are counted under the standard outcome they map to, so “Booked demo” set to Connected shows as Connected in the outcome chart and filter.
  • Total talk time is in seconds, while Twilio rounds each call up to the next whole minute, so your Twilio bill counts more minutes than talk time divided by 60.

Session stats in the Dialer

While a rep dials, a stats bar in the Dialer counts Calls, Connects with a connect percentage, Call time and Callbacks set for the current session, plus what is left in the list. The counts live in that browser tab, so a second tab starts its own session. “Reset session stats” zeroes the bar for a new calling block.

When do you need more than Rapidialer’s analytics?

You need another tool when you want live wallboards, scheduled report emails or conversation scoring across the team. Rapidialer has none of those. Its charts come from outcomes, durations and lists, which covers activity, reach and list quality; what was said lives in each call’s recording and, with your own AI keys, its transcript and summary, not in a report.

The usual middle ground is the CSV export: export a month from History and build pivot tables by agent or list. Only owners and admins see every rep’s calls (see team roles), so a manager runs the export for team reports.

Features that work alongside it

Call analytics: questions and answers

What is a good connect rate for cold calling?

There is no single good connect rate, because it moves with the list, the industry, the time of day you call and the health of your numbers. Rapidialer shows each rep’s reach rate on the leaderboard and each list’s reach in its funnel, so set your own baseline over a month and compare lists against it. Published connect rate benchmarks are a rough guide at best.

How many dials per hour is normal with a power dialer?

It depends on how many calls connect, since conversations take most of the hour. In Rapidialer an unanswered call costs about 40 seconds: up to 30 seconds of ringing, a keypress for the outcome and the 5-second countdown. Divide a rep’s total calls by the hours between their first and last call each day, from the History export, to get your own dials per hour rather than relying on a vendor figure.

How do I track the conversation-to-meeting rate?

Add a Meeting set stage to your Rapidialer pipeline and a custom outcome button, such as “Booked meeting”, that counts as Connected and moves the lead to that stage. Each month, count leads in that stage on the Leads page and divide by the Connected card in Analytics. The call export lists the standard outcome, not the custom label, so count meetings from the stage.

What counts as a connect?

In Rapidialer, a connect is a call whose outcome is Connected or Callback. The leaderboard’s reach rate is those connects divided by all calls in the date range. List funnels use a wider test and also count a Not interested answer as reaching the contact, since someone picked up and spoke to the rep.

Can agents see the whole team’s numbers?

No. Rapidialer’s Analytics page shows agents their own calls, charts and leaderboard row, under the heading “Your numbers”. Owners and admins see the whole team, can filter Analytics to one agent, and see every rep’s calls in History.

Can I get raw data out?

Yes. Rapidialer exports call history as a CSV of up to 10,000 calls, filtered by date, direction, outcome or text search. Each row has the call’s direction, numbers, start and end times, duration_sec, disposition, notes, agent, list, contact, Twilio status and Call SID, and a has_recording flag, so you can build any report in a spreadsheet.

How do I compare lists?

Each list has a funnel with four steps: attempted, reached, qualified and won. Comparing those funnels side by side shows which lead sources turn into conversations and deals, so you know which lists to buy again, which to retire and where to focus your reps’ time.

Does Rapidialer show the best time to call?

Yes. The Best time to call heatmap on the Analytics page shows the connect rate of your outbound calls by weekday and hour over the last 90 days, read in each called number’s local time zone. Use it to choose call blocks and calling hours, then set daily goals for calls, connects and talk minutes so reps can track today’s numbers against them.

Why do the leaderboard and the list funnel disagree?

They measure different things. The leaderboard counts calls in your date range, and a rep who dials one lead three times gets three calls. The funnel counts contacts on a list, all time, using each contact’s latest outcome, and also counts Not interested as reached.

Can I see what the calls cost?

Twilio bills calls in your own Twilio account, so costs show up in the Twilio Console, not in Rapidialer. Export a month of call history, total duration_sec by rep, and run it through the Twilio call cost calculator for an estimate.

Do call analytics cost extra in Rapidialer?

No. Rapidialer’s Analytics page, leaderboard, list funnels and CSV export come with every seat at $5 per seat a month or $49 per seat a year. Twilio bills calls separately in your own account. A 3-rep team dialing about 1,000 billed minutes per rep, with recording on, pays roughly $79.95 a month in total.
